Exhibition and event logistics across Europe

Exhibition logistics means getting a stand, a showroom or a collection from your warehouse to the venue inside the organiser’s build-up slot, installed on time, dismantled after the last visitor leaves and either stored or returned. The Easy Move provides this from Eindhoven for exhibitions, showrooms and fashion events across Europe.

What does
exhibition logistics cover?

A trade show stand, a pop-up store or a fashion showroom is a small building that has to exist in one place for a few days and then disappear. Exhibition logistics is everything that makes that possible. It starts with collection from your office, warehouse or stand builder, continues with packing and crating, transport to the venue, and unloading at the hall door or at the stand position.

On site it includes installation: assembling walls, counters, furniture and displays, placing product and lighting, and clearing the empty crates to a storage area for the duration of the show. After the event, the same crew dismantles, re-packs against the inventory, and either returns everything to you, moves it to the next city or puts it into storage until the next season. The difference with a normal removal is the clock: a venue slot is fixed to the hour, and a stand that arrives late has no fallback.

How does delivery
to the hall or venue work?

Large European venues, such as RAI Amsterdam, Jaarbeurs Utrecht, Messe Frankfurt, Fiera Milano or the Paris exhibition parks, run build-up and breakdown on a timetable. Each exhibitor or stand builder receives a delivery window, often a few hours on a specific day, and vehicles are called forward from a marshalling yard to a hall gate. Arrive outside your window and you wait, sometimes until the next day.

Forklifts inside the hall are usually supplied by the venue’s official handler and must be booked in advance. The practical consequence is that the lorry must be in the city the evening before, with the driver’s phone number on the organiser’s list and the stand number on every crate. For a showroom in a city-centre building the same logic applies: a parking permit from the municipality, a goods lift booking with the building manager, and sometimes a furniture lift through a window when the stairs are too narrow for rails and fixtures.

What does The
Easy Move do for exhibitions and events?

The Easy Move is an international moving company based in Eindhoven that works for businesses as well as consumers. For exhibitions, showrooms and events it combines services from across its business: a dedicated project manager as on an office or commercial move, packing and labelling, custom crating, furniture disassembly and assembly, transport across Europe including the UK and Switzerland, customs documentation, storage in the Netherlands and at selected international locations, and insurance options.

Quotes are fixed after a consultation, with no hidden fees, and a partner network at origin and destination covers the cities the Eindhoven crews do not drive to themselves. Projects shown on our site include showroom and fit studio installation for Marc Jacobs, fashion logistics and showroom installation for Casablanca, and retail installation for the Willy Chavarria x Adidas collaboration. The website runs in six languages: English, Dutch, German, French, Italian and Spanish. To plan an event, send the venue, dates and a rough list of items through the Easy Quote form, or read about cross-border transport on the international moving page.

How do you pack a stand, a showroom or a collection?

Exhibition goods travel more often than household goods, so the packing has to survive several round trips. Stand walls and graphics go in reusable flight cases or crates, numbered and labelled with the stand number and the unloading order. Fragile displays, glass, screens and artwork are packed in custom crates built to the piece; The Easy Move offers custom crating as part of its international service.

Fashion collections have their own rules. Garments travel hanging in wardrobe boxes or on rail cases, with the look numbers in the same order as the showroom plan, so that the installation team can dress the rails without a stylist present. Shoes and accessories go in labelled trays. Samples needed on the first morning travel separately and are unloaded first. An inventory with crate numbers, contents and values is written at packing and checked at delivery, dismantling and return; it doubles as the insurance schedule. Consumables and giveaways that will not come back are listed separately from the equipment that will, because customs treats the two differently outside the EU.

What timing should you plan for an event abroad?

A realistic schedule for a stand or showroom in another European city starts six to eight weeks ahead: confirm the venue slot, the stand plan and the list of items, and book the transport. Three to four weeks ahead: packing and crating, labelling, inventory, insurance values, and the venue’s handling bookings. One week ahead: final check of crates against the plan. The day before build-up: lorry in the city. Build-up day: delivery inside the slot, then installation.

Breakdown follows the same discipline: dismantle the evening the show closes, load, and return or store. Road transport inside Western Europe is fast; a dedicated vehicle usually delivers within one to three days of loading. The timeline is driven by the venue and the organiser’s deadlines rather than by the distance, which is why the planning starts with the slot and works backwards.

Which permits and papers do you need?

Inside the EU there are no customs formalities for exhibition goods moving from the Netherlands to Germany, France, Italy, Belgium or Spain. The papers that matter are the venue’s: exhibitor badges for the crew, vehicle passes, hall access forms and the official handler’s bookings. Many city centres add low-emission zones and loading restrictions: Milan, Paris, Frankfurt and Amsterdam all regulate which lorries may enter and when, so vehicle and delivery time are checked against local rules before departure.

For events in the United Kingdom or Switzerland, goods leave the EU customs area and come back. The usual instrument is an ATA carnet, a document that allows temporary export and re-import of professional equipment and exhibition goods without paying duty, provided everything on the list returns. In the Netherlands the KVK, the Chamber of Commerce, issues the carnet online; according to business.gov.nl it is valid for up to one year, you pay a fixed fee plus a premium based on the value of the goods, and with it you pay no VAT, import duties or security deposit at the border. Without a carnet, a security deposit is often required. Goods sold at the event need a normal import declaration instead. Check the current rules with Dutch Customs and the KVK before shipping.

What happens between events?

Most companies exhibit several times a year, and a stand that goes home in between costs transport twice and office space. The alternative is to keep the stand, the displays and the seasonal collection in secure, climate-controlled storage in the south of the Netherlands, centrally placed for Amsterdam, Brussels, Cologne, Paris and the German and Italian fair cities. From there the kit is checked and shipped directly to the next venue.

Storage also solves the gap at the end of a showroom season, when a space in Paris or Milan has to be empty on a fixed date and the next space is not yet available. Business storage runs short or long term, with the inventory kept per crate so that one display can be pulled for a single event without unpacking everything.

Frequently asked questions

Does every exhibition shipment need an ATA carnet?

No. Inside the EU, a stand travelling from the Netherlands to Frankfurt, Milan or Paris needs no customs document at all. A carnet is for countries outside the EU customs area, such as the United Kingdom and Switzerland, and only for goods that come back. Samples that will be sold or given away are declared separately as a normal import.

How far ahead should we ship a stand?

Work backwards from the hall delivery slot and build in a contingency: the lorry sleeps in the venue city the night before build-up, so loading in Eindhoven happens one to three days earlier for a Western European venue. Stand builder Adam Expo Stand gives the same rule in its 2026 shipping guide: plan from the authorised slot, not from a single delivery deadline.

How do temporary imports work for exhibitions?

Temporary import means the goods enter a country for the event and leave again afterwards without duty becoming payable. The ATA carnet is the standard way to prove it; the customs officer stamps the carnet on entry and exit. Forwarder Blue Water Shipping notes that some countries ask for a financial guarantee or customs bond where no carnet is used.

How do you transport exhibition stands and event equipment?

By road, in a dedicated vehicle for European venues, with the stand in flight cases or crates numbered in unloading order and the fragile pieces in custom crates. Garments travel hanging in wardrobe boxes or rail cases, sorted by look number, never folded into cartons. The inventory lists each case and its value, so the insurance cover matches what is on the vehicle.

When should you start planning exhibition logistics?

As soon as your participation is confirmed. Blue Water Shipping gives the same answer and adds that large stands and international shipments often need several weeks or months. For a stand or showroom in another European city, six to eight weeks before build-up is enough to confirm the slot, fix the item list, book transport and prepare the carnet where one is needed.
